6. Session Client Notes
Written Notes: We will record relevant background information, key issues, and a summary of each session to monitor progress. These notes are kept securely (see "Security and Retention of Your Information").

Video Recorded Notes: With your express permission, online video conference sessions may be recorded for a minimum of one week and may be deleted thereafter. You can request a copy within one week of recording. These recordings are also kept securely.

Access to Notes: Under the Data Protection Act, you have the right to access your session notes. However, information relating to other individuals mentioned in the notes may not be disclosed to protect their privacy. We may need to explain the content of notes if they are recorded in shorthand or coded form. If your file includes correspondence from other healthcare professionals, their consent may be required before disclosure. Requests to see your file should be made in writing with at least one week's notice. Case notes are exempt from disclosure to third parties under Freedom of Information legislation.

Liaison and Correspondence at Client Request: With your explicit consent, we may liaise with or write to third parties (e.g., a GP or tutor). The purpose and extent of the information shared will be agreed with you beforehand. Requests for letters should be made in writing, and you can request copies.

We retain your personal information for as long as necessary to provide you with our services, fulfill the purposes outlined in this Privacy Policy, comply with legal obligations, resolve disputes, and enforce our agreements.

Adult Therapy Client Notes: Retained for seven years after the last session.

Under 18 Therapy Client Notes: Retained for seven years after they turn 18.

Shop Customer Data: Retention periods vary depending on the type of data and legal requirements (e.g., order history is typically kept for accounting purposes).
